Terms of Service

1. Acceptance of Terms

By accessing or using Postbox ("Service"), operated by Variant Systems ("we", "us", "our"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

2. Description of Service

Postbox is an agent-native data collection platform that provides structured endpoints for submission management, AI-powered spam detection, translation, and smart reply features. The Service is available via a web dashboard, REST API, and MCP server.

3. Account Registration

You must create an account to use the Service. You agree to:

• Provide accurate and complete registration information
• Maintain the security of your account credentials and API keys
• Accept responsibility for all activity under your account
• Notify us immediately of any unauthorized use

4. Free and Pro Tiers

Free Tier: Limited to 1 form and 5,000 total submissions. Includes 50 one-time AI credits for spam detection, translation, and smart replies.

Pro Tier ($19/month or $199/year): Unlimited forms and submissions, MCP server access, priority support, and 500 AI credits per month (replenishing). When monthly credits are exhausted, metered billing applies at published per-action rates.

We reserve the right to modify pricing with 30 days' notice to existing subscribers.

5. Acceptable Use

You agree not to use the Service to:

• Collect data in violation of applicable laws or regulations
• Send spam, phishing, or abusive content through smart replies
• Attempt to circumvent rate limits, billing, or security measures
• Interfere with the Service's infrastructure or other users' access
• Reverse engineer, decompile, or attempt to extract source code
• Use the Service to collect sensitive personal data (health, financial, biometric) without appropriate safeguards

6. Data and Submissions

You retain ownership of all data submitted through your forms. We store submissions on your behalf and process them according to your form settings (spam detection, translation, smart replies).

Free tier data retention: Submissions are retained while your account is active. If your submission limit is reached, new submissions are queued. Queued submissions are deleted after 30 days if you do not upgrade.

Pro tier data retention: Data is retained as long as your subscription is active.

7. AI Features

AI-powered features (spam detection, translation, smart replies) use third-party language models to process submission content. Submission data may be sent to AI providers for processing when these features are enabled. AI-generated responses (smart replies) are provided as-is and should be reviewed before relying on them for critical communications. We are not responsible for the accuracy of AI-generated content.

8. API and MCP Usage

API access is subject to rate limits (currently 10 submissions per minute per IP). API keys are confidential and must not be shared publicly. MCP server access requires Pro tier and OAuth 2.1 authentication. We may adjust rate limits to maintain service quality.

9. Cancellation and Termination

You may cancel your account at any time. Upon cancellation of a Pro subscription, you retain access until the end of your billing period. We may terminate accounts that violate these terms or remain inactive for an extended period.

Upon account termination, your forms and submissions will be deleted after a 30-day grace period.

10. Limitation of Liability

The Service is provided "as is" without warranty of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total liability is limited to the amount you paid us in the 12 months preceding the claim.

11. Changes to Terms

We may update these terms at any time. Material changes will be communicated via email or a notice on the Service. Continued use after changes constitutes acceptance.
